Trek Booking – Payment Process
Booking your trekking adventure with NORD EXTREME HIMALAYA Pvt. Ltd. is a simple, secure, and client-focused process. Whether you're planning your Himalayan trek months in advance or making a spontaneous decision for a last-minute escape, we’re here to ensure the process is smooth, transparent, and tailored to your needs.
Submit Your Booking Form
The first step in securing your adventure is submitting a completed booking form. This form can be filled out directly on our website or downloaded and sent to us via email. Along with the form, we request the following documents and information:
- A clear copy of your passport – It must be valid for at least six months beyond your travel dates.
- Proof of travel insurance – Your policy should cover trekking activities and include emergency evacuation at high altitudes.
- Any special requirements – Please let us know about dietary restrictions, medical conditions, or personal preferences that may impact your trip.
After we receive your form and documents, our team will review your information, confirm the availability of your selected trip, and send you an official booking confirmation via email.
Payments
To reserve your place on the trek, we require an advance payment. This ensures your booking is held and allows us to make necessary logistical arrangements, such as permits, accommodations, and guide assignments.
- Initial Deposit: A 20% deposit of the total trip cost is due at the time of booking.
- Additional Payment: An additional 15% of the trip cost must be paid at least 15 days prior to your scheduled departure.
- Final Balance: The remaining balance of your trip fee is payable upon your arrival in Kathmandu, before the trip begins.
Last-Minute Bookings
We understand that sometimes travel plans come together quickly. For clients booking within 15 days of the trip’s departure, a 50% payment of the total tour cost is required in advance to secure your reservation. Please note that last-minute bookings are subject to availability and may have limitations depending on permit processing times and other logistics.
Payment Methods
We aim to offer payment solutions that are convenient and secure. You can choose from the following methods:
- Bank transfer
- Credit or debit card
- Cash payment upon arrival in Kathmandu
After we confirm your booking, we will provide detailed payment instructions, including bank account information and secure payment gateway options where applicable.
Refunds and Cancellations
We understand that unforeseen circumstances can impact your travel plans. In the event that you need to cancel your booking, please inform us as early as possible. All cancellations and refund requests are processed in accordance with our official cancellation policy, which is available in our Booking Terms and Conditions.
Refund amounts may vary depending on the timing of your cancellation and the nature of the trip. We recommend reviewing our policies in detail before making your payments to ensure clarity and peace of mind.
